This Privacy Policy explains how Vertex Logistics collects, uses, shares and protects personal data when you visit vertexlogistics.net, ask us for a quotation, use our services, or interact with our social media pages and Google Business Profile.
1. Who we are
Vertex Logistics is the trading name used by VERTEX LOGISTICS SERVICES, the data controller responsible for this website.

2. Personal data we collect
2.1 Quotation requests and enquiries
Our quotation form asks for your name, company, email address, phone number, shipment origin and destination, transport mode and a description of your shipment. The form does not store your details on our website. When you submit it, it opens a pre-filled email in your own email application, and we receive the information only if you send that email to info@vertexlogistics.net.
We also receive the personal data you choose to include when you email us, call us, or message us on WhatsApp.
2.2 Customers
When you use our freight, customs, warehousing or courier services, we process the contact details of your staff and the shipment, customs and billing information needed to quote, arrange, document and invoice the service.
2.3 Shipment tracking tool
If you enter a tracking number in our “Where is my shipment?” tool, your browser opens the tracking page of the relevant carrier (for example DHL, FedEx or UPS) with that number. We do not store the numbers you enter. The carrier’s own privacy policy applies to its website.
2.4 Website analytics
We use Google Analytics 4 to understand how our website is used. It collects information such as the pages you view, approximate location, device and browser type, how you reached our site, and interactions such as submitting the quotation or tracking form and clicking our phone, email or WhatsApp links. Google Analytics uses cookies and similar identifiers.
2.5 Server and security logs
Our website hosting provider records technical information, such as IP addresses, browser details, dates and times, and requested pages, to operate and secure the website.
2.6 Content loaded from other services
Some pages load fonts or code libraries from Google Fonts, jsDelivr and unpkg. When they load, those services receive your IP address and browser information.
2.7 Social media and Google Business Profile
When you follow, message, comment on or review our pages on Facebook, Instagram, LinkedIn, YouTube or Google Business Profile, we can see the information those platforms make available to page owners, such as your public profile name, your message, comment or review, and aggregated statistics about our pages.
3. How we use personal data
We use personal data to:
- respond to quotation requests and enquiries;
- provide, document and invoice our logistics services;
- manage our customer and business-contact records;
- understand and improve how our website is used;
- publish content on our own social media pages and Google Business Profile, measure how it performs, and reply to comments and reviews;
- send marketing communications, where you have agreed to receive them;
- keep our website and systems secure, and meet our legal, customs, tax and accounting obligations.
We process personal data where you have given your consent, where it is needed to take steps at your request or to perform our services for you, where the law requires it, or where it is otherwise permitted under Jordan’s Personal Data Protection Law No. 24 of 2023 and other applicable law.
4. Customer relationship management (HubSpot)
We use HubSpot to keep records of our customers and business contacts, such as names, company, contact details, lead source, website campaign information, marketing-consent status and the date consent was given. Our HubSpot account is hosted in HubSpot’s European data centre.
5. Our internal marketing application
Vertex Logistics uses an internal marketing application, run on our own computers and used only by our staff, to create, schedule and publish posts on our own business accounts on Facebook, Instagram, LinkedIn and YouTube, and to read statistics about those posts.
- The application connects to these accounts through each platform’s official sign-in process (OAuth). It does not collect data from other people’s accounts.
- The access tokens that let the application act on our accounts are stored encrypted in the application’s local database.
- It stores the identity of our own connected accounts (for example the account or channel name and ID), the posts we publish, and statistics about those posts.
- It can send business-contact records we choose to add to our HubSpot account.
6. Google and YouTube data
The application uses YouTube API Services to publish videos to our own YouTube channel.
- What it accesses: with the permissions “Manage your YouTube videos” and “View your YouTube account”, it reads our own channel’s ID, name, handle and profile image, uploads videos we create, and reads public view, like and comment counts for our videos.
- Why: only to publish our marketing videos and measure how they perform.
- What it stores: our channel’s ID, name, handle and profile-image link; encrypted access and refresh tokens; a record of each video we publish; and the view, like and comment counts it reads. It does not store other users’ YouTube account data.
- How long: tokens are kept until we disconnect the channel from the application, at which point they are deleted. Channel identifiers, publishing records and statistics are kept as part of our marketing records for as long as they are needed for that purpose.
- Sharing: this data is not sold, shared with third parties or used for advertising. Videos are sent only to YouTube for publishing.
- Revoking access: the application’s access can be removed at any time at Google Account permissions.
- Deletion: to ask us to delete data obtained through Google APIs, email info@vertexlogistics.net.
Vertex Logistics’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
When you interact with our YouTube content, the YouTube Terms of Service and the Google Privacy Policy also apply.
7. AI-assisted marketing content
We use AI tools to help draft marketing copy, images, video scripts, hashtags and voice-overs for our own marketing. These tools include Google’s Gemini API and Hugging Face, as well as AI models that run on our own computers.
- The information we give these tools is our company profile and the campaign brief our staff write.
- We do not submit customer shipment records, quotation requests or our HubSpot contact records to generative-AI providers.
- If we use AI to help draft a reply to a public review of our Google Business Profile, the review text and the reviewer’s public name may be sent to the AI provider. A member of our staff reviews every reply before it is posted.
- All AI-generated content is reviewed by our staff before publication.
8. Who we share personal data with
We share personal data only as needed with:
- service providers that support our business, including our website hosting provider, Microsoft 365 (business email), HubSpot (CRM), Google (Google Analytics, YouTube, Google Business Profile and the Gemini API), Hugging Face, and the content-delivery services named in section 2.6;
- the social media platforms we use, Meta (Facebook and Instagram), LinkedIn and Google (YouTube), when we publish on or manage our own pages;
- carriers, customs authorities, ports and other logistics partners, where needed to deliver a shipment you have asked us to handle;
- government and regulatory authorities, where the law requires it.
We do not sell personal data.
9. Processing outside Jordan
Several of the service providers listed above store or process data outside Jordan, including in the European Union and the United States. Where personal data is transferred outside Jordan, we will take the steps required by applicable Jordanian law.
10. How long we keep personal data
We keep personal data only for as long as it is needed for the purpose it was collected for, and for any longer period required by law:
- Enquiries and quotation requests are kept while the enquiry may lead to business with us, and then deleted or kept only where needed for our records.
- Customer and shipment records are kept for as long as needed to provide the service and to meet our legal, customs, tax and accounting obligations.
- Business-contact records in HubSpot are kept while there is an active business relationship or a valid reason to contact you, or until you ask us to delete them.
- Marketing-consent records are kept while your consent is active and as long as needed to show that consent was given or withdrawn.
- Google Analytics: event-level data is kept for 2 months and user-level data for 14 months, extended when the same user visits again. Aggregated reports are not affected.
- Server logs are kept according to our website hosting provider’s settings.
- Social media and Google Business Profile content remains on those platforms under their own rules until it is removed.
11. Security
We protect personal data with measures such as restricted staff access, encrypted storage of the access tokens used by our marketing application, and HTTPS on our website. No system is completely secure, but we take reasonable steps to protect the data we hold.
12. Your rights
Subject to the conditions and exceptions in Jordan’s Personal Data Protection Law and other applicable law, you can ask us to:
- give you access to the personal data we hold about you;
- correct personal data that is inaccurate or incomplete;
- delete personal data we no longer need or are not allowed to keep;
- stop or limit certain processing, including objecting to processing for direct marketing;
- withdraw your consent at any time, without affecting processing carried out before you withdrew it.
To make a request, email info@vertexlogistics.net. We may need to confirm your identity before we act. If you are not satisfied with our response, you may complain to the competent data-protection authority in Jordan.
13. Cookies and similar technologies
Our website uses:
- a language cookie (
pll_language) that remembers whether you are viewing the English or Arabic site; - Google Analytics cookies that help us measure website use;
- your browser’s local storage, to remember whether you chose the light or dark display mode.
You can block or delete cookies and local storage in your browser settings. The website will still work, although your language or display preference may not be remembered.
14. Children
Our website and services are intended for businesses and are not directed at children. We do not knowingly collect personal data from children. If you believe a child has sent us personal data, please contact us and we will delete it.
15. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top shows when it was last changed.
